Clinic Policies and Terms

This page explains the appointment, cancellation, package, payment, refund, privacy, and data-protection policies of LMC – Laser Medical Clinic in Richmond Hill, Ontario.

Please review these policies before booking or purchasing a treatment. By scheduling an appointment or completing a purchase, you acknowledge the policies that apply to your service.

Cancellation and No-Show Policy

Appointment times are reserved specifically for each client. To maintain fair scheduling and treatment availability, LMC requires advance notice when an appointment must be cancelled or rescheduled.

At Least 24 Hours’ Notice Is Required

Please cancel or reschedule your appointment at least 24 hours before the scheduled start time.

  • Cancellations made with less than 24 hours’ notice may be subject to a $75 late-cancellation fee.
  • Clients who miss a prepaid appointment may forfeit one session from the package or be charged the applicable cancellation fee.
  • Cancellation fees and outstanding balances must be paid before another appointment can be scheduled.
  • If a payment method on file cannot be processed, the outstanding fee must be paid before rebooking.

How to Cancel or Reschedule

Cancellations and rescheduling requests must be made by calling the clinic directly at 416-548-6548.

Messages sent through Instagram, Facebook, TikTok, or other social-media platforms are not considered valid cancellation notices because they may not be reviewed immediately.

Extenuating Circumstances

We understand that emergencies and unexpected situations occur. LMC may provide a one-time courtesy waiver for an eligible late cancellation. Additional late cancellations or missed appointments remain subject to the standard policy.

Repeated Late Cancellations or No-Shows

After three late cancellations or missed appointments, LMC may require full prepayment or a non-refundable deposit before confirming future appointments.

Arrival and Punctuality Policy

Please arrive approximately 10 minutes before your appointment to allow time for check-in, consent forms, photographs, treatment preparation, or clinical assessment.

Clients arriving late may receive only the remaining portion of their scheduled appointment. The treatment may need to be shortened, modified, rescheduled, or cancelled to avoid delaying the next client.

Arrivals 15 Minutes or More Late

Clients who arrive 15 minutes or more after the scheduled appointment time may be treated as a no-show and may be charged the applicable cancellation fee.

Full treatment charges may still apply when an appointment is shortened because of late arrival.

Contact the clinic as soon as possible if you expect to be late. Calling ahead does not guarantee that the original appointment can be completed.

Appointment Scheduling and Staff Availability

Clients may request a specific laser technician, nurse, injector, physician, or other clinical provider. LMC will make reasonable efforts to accommodate the request but cannot guarantee the availability of a particular team member.

Staff schedules may change because of illness, emergencies, training, operational requirements, or other circumstances. When necessary, LMC may assign another appropriately qualified provider or offer an alternative appointment time.

Treatment quality and clinical eligibility remain the priority regardless of the provider originally requested.

Treatment Packages, Expiry and Complimentary Sessions

Paid treatments and treatment packages purchased from LMC do not expire unless a different expiry period is clearly stated in writing at the time of purchase.

  • Treatment packages are assigned to the original purchaser.
  • Packages and unused sessions cannot be shared or transferred to another person.
  • Complimentary treatments have no cash value and are not refundable or transferable.
  • Complimentary sessions included with a package are provided after the paid sessions have been completed.
  • Treatment eligibility remains subject to clinical assessment, even when a package has already been purchased.

Six-Session Packages

Unless otherwise stated, six-session packages include six treatments for the regular price of five individual sessions. The client pays for five sessions and receives the sixth session at no additional charge.

Package inclusions, treatment areas, promotional terms, and eligibility should be confirmed before purchase.

Laser Hair Removal Preparation Policy

Clients scheduled for laser hair removal must shave the treatment area before arriving unless instructed otherwise by the clinic.

  • Shave closely enough that visible hair or significant stubble is not present above the skin.
  • Do not wax, tweeze, thread, or use an epilator before treatment because the hair follicle must remain intact.
  • Avoid tanning and disclose recent sun exposure, self-tanning products, medications, skin irritation, or changes in medical history before treatment.
  • Treatment may be postponed when the skin cannot be treated safely.

Additional preparation and aftercare instructions may be provided based on the treatment area, skin type, laser settings, and individual medical history.

Refund, Exchange and Transfer Policy

All Treatment Sales Are Final

Treatment purchases, packages, deposits, prepaid sessions, and promotional services are non-refundable and non-transferable except where required by applicable law or expressly approved by LMC.

  • Treatments and packages cannot be shared with another individual.
  • Unused or unredeemed treatments cannot normally be converted to cash.
  • Under limited circumstances, LMC may approve the use of an unused treatment credit toward another eligible service.
  • Any treatment conversion is reviewed individually and may be subject to price differences, clinical eligibility, promotional exclusions, or administrative conditions.
  • Complimentary services and promotional bonuses have no cash value.
  • When an exception is approved, LMC may issue clinic credit rather than returning funds to the original payment method, where legally permitted.

Skincare Product Exchanges

Eligible over-the-counter skincare products may be exchanged within seven days of purchase when they are unused, unopened, undamaged, and returned in their original packaging with proof of purchase.

Prescription products, opened products, used products, clearance items, and products that cannot be resold for hygiene or safety reasons are not eligible for return or exchange.

Privacy Policy

LMC – Laser Medical Clinic respects the privacy of its patients, clients, website visitors, and prospective clients. This section explains how personal information may be collected, used, stored, disclosed, and protected.

Information We May Collect

Depending on how you interact with the clinic, we may collect information such as:

  • Name, telephone number, email address, and contact preferences.
  • Appointment details, treatment interests, consultation requests, and communication history.
  • Medical history, consent forms, treatment records, clinical photographs, and other information necessary to assess or provide care.
  • Billing, transaction, financing, and payment-related information.
  • Website usage, device, browser, referral-source, cookie, and analytics information.

How Information May Be Used

Personal information may be used to:

  • Schedule, confirm, modify, and manage appointments.
  • Assess treatment eligibility and provide clinical or aesthetic services.
  • Maintain treatment, consent, billing, and communication records.
  • Respond to questions, requests, complaints, or support inquiries.
  • Process payments, financing applications, or authorized transactions.
  • Send appointment reminders, treatment information, operational notices, and authorized marketing communications.
  • Improve clinic services, website performance, advertising, and user experience.
  • Meet professional, legal, regulatory, accounting, insurance, or security obligations.

Service Providers and Information Sharing

LMC does not sell personal information. Information may be shared with authorized service providers when necessary to operate the clinic or fulfil a client request.

These providers may include appointment systems, electronic medical-record systems, payment processors, financing providers, website hosts, analytics platforms, marketing platforms, email or SMS providers, professional advisers, insurers, and technology vendors.

Information may also be disclosed when required by law, professional obligations, court order, regulatory request, fraud prevention, or the protection of patients, staff, the clinic, or the public.

Email, SMS and Marketing Communications

With appropriate consent, LMC may send information about promotions, treatment updates, clinic news, educational content, and special offers.

Recipients may unsubscribe from marketing communications using the unsubscribe option provided or by contacting the clinic. Operational messages, appointment reminders, transaction notices, and clinically necessary communications may still be sent when permitted.

Cookies and Website Analytics

The LMC website may use cookies and similar technologies to support website functionality, measure traffic, understand visitor behaviour, improve advertising, and evaluate campaign performance.

Browser settings and available consent controls may allow visitors to limit or disable certain cookies. Disabling cookies may affect some website functions.

Access to and Control Over Personal Information

Subject to legal, professional, clinical, and record-retention requirements, you may contact LMC to:

  • Ask what personal information LMC holds about you.
  • Request correction of inaccurate or incomplete information.
  • Withdraw consent where consent is the legal basis for processing.
  • Request deletion of eligible information.
  • Opt out of eligible marketing communications.
  • Ask questions or express concerns about how your information is handled.

Some information cannot be deleted immediately because clinics may be legally or professionally required to retain medical, financial, consent, transaction, or treatment records.

Data Security and Protection

LMC uses administrative, technical, and physical safeguards intended to protect personal information against unauthorized access, loss, misuse, disclosure, alteration, or destruction.

Online Security

Website connections, forms, payment processes, and online systems may use encryption and other security controls appropriate to the service being provided.

Access Controls

Access to personal and clinical information is limited to authorized personnel and service providers who require it for legitimate duties.

Physical Protection

Devices, records, work areas, and systems containing personal information are protected using appropriate physical and operational safeguards.

Security Limitations

No electronic transmission or storage method is completely risk-free. LMC reviews and updates safeguards as operational and security needs change.

Policy Changes

LMC may revise these policies to reflect operational changes, new services, legal requirements, regulatory guidance, technology updates, or changes in clinic procedures.

The version published on this page at the time of an appointment or purchase will generally apply unless different written terms were provided.
